Joint Assessments - Overview and FAQ

For organizations with this feature enabled, joint assessments are a process designed to support and improve conversations between managers and employees about skills and professional development.

A joint assessment results in a downloadable, Excel format report that compares the employee’s self-assessment to the manager’s assessment of each skill or competency associated with the job. The report will also compare your respective self-assessments to:

  • Target or suggested proficiency levels for each item being assessed, when the job is connected to a competency model.

  • SkillRank for each of the items being assessed, if this value exists. For more information about SkillRank, visit our FAQ page.

    Note that skills for a job can be assessed by anyone who is added to the job as an observer. However, only joint assessments between the manager and the employee result in a report.

What do I need to conduct a joint assessment?

Here are the requirements for joint assessments to take place:

  • Your organization must have this feature enabled by Ibbaka Talent. It is not automatically enabled.

  • You must have either:

    • Found and connected a job or role from your organization’s competency model, OR

    • Defined a job or role in your skill profile that is affiliated with your company.

  • The job must have skills associated with it for you to assess.

  • You need to have 1) assigned your manager to the job as an ‘observer’ in the ‘Stakeholders’ tab in the job modal, and 2) indicated as a manager for that job.

  • In order for a joint assessment to begin, only one manager can be assigned to your job or role.

What is the process for a joint assessment?

The business process for joint assessments may vary slightly from one organization to the next. That said, the high-level process on Ibbaka Talent is:

  1. Either the manager or the employee can initiate a joint assessment. Your manager must be indicated as a manager for your job on Ibbaka.

  2. An invitation is sent by email to the other party inviting them to conduct the joint assessment for the specific job or role.

  3. The person extending the invitation can begin their skill assessment.

  4. The person being invited to conduct the assessment accepts the invitation and begins their assessment. If this person declines the invitation for some reason, the joint assessment process will be cancelled and the person who issued the invitation will be notified by email that the request was rejected.

  5. Provided the assessment goes ahead, the manager and the employee complete their assessments of the skills for the job and indicate that the assessment is complete. For the employee, if this is not the first time you have assessed these skills, your current self-assessments will be visible.

  6. Once both assessments are completed, the manager and the employee will each receive an email indicating that the assessment is complete. This email will have the excel report for the assessment attached. You can also download this report at any time under the ‘Roles’ tab in your profile, next to the job for which the joint assessment took place.

Who can see the joint assessment report?

Only the manager and the employee have access to the report for the latest joint assessment conducted. It’s up to these individuals to retain a copy of this report and to share the report with others if they choose to do so. The latest joint assessment report is also available only to the manager and the employee from the Roles tab, in their respective skill profiles.

Can I assess job-related skills without a joint assessment?

Yes. The person who holds the job or role, and any observers for the job or role can assess job-related skills at any time through in the window for that job. The person who holds the job or role has the additional option of changing self-assessments at any time through their skill profile. The advantage to assessing skills through the job modal window is that it helps to isolate just the skills that are considered critical for you to be able to do the job or role.

For managers, you can also update your assessment of an employee’s skills anytime, outside of the joint assessment process, as long as you are indicated as an observer for that job. However, a manager’s assessments become explicitly visible to the employee only by way of the report generated in the joint assessment process.

All assessments provided by job observers outside of a joint assessment process are aggregated into the individual's SkillRank (as are those provided by the manager). A SkillRank for any given skill becomes visible when three or more assessments have been submitted for the skill in question, regardless of who provides the assessment.

Will my most recent joint assessment report update automatically if I change my self-assessment after the joint assessment is completed?

No. Joint assessment reports are designed to reflect the assessments as submitted at a particular point in time.

Does Ibbaka Talent keep a historical record of my joint assessments?

Yes. We are required by organizations to retain all records of joint assessments, but at this time, only the latest joint assessment will be visible to the manager and the employee, through the roles tab on their skill profiles.

Can my organization access current or past assessments?

There is no access for administrators to past assessments through the Ibbaka Talent interface. Although Ibbaka Talent can provide these documents when asked, we only make the latest joint assessment available to download for the manager and the employee.

Is a joint assessment considered part of a performance review?

This will depend on your organization. Some organizations may use joint assessments as part of a performance review, others will elect to use it solely as a way to support the professional development of the individual.

How long are joint assessment reports available?

The report for the latest joint assessment remains available for download under the Roles tab in your respective skill profile until the next assessment is completed, at which time, the last report is replaced with a new one. As long as you keep the email notifications of completed joint assessments, or you download and retain the attached reports, you will have a record of all joint assessments.

Is there a limit on how many joint assessments I can conduct in a given time period?

No. Joint skill assessments are designed for you to be able to have meaningful conversations about your skills to support your ongoing development. There are no system limits on the frequency with which joint skill assessments can be done.

What happens if I have more than one manager with whom I wish to conduct a joint assessment?

Ibbaka Talent only supports joint assessments with a single manager at this time. If more than one manager is indicated for a job, you will not be able to start a joint assessment.

However, as we’ve mentioned above, you can have any number of people invited to assess your skills or competencies for a job simply by adding them as an observer to the job. These assessments will contribute to your SkillRank, but they do not result in a report.
